Getting Started
If your child has been referred for, or you feel your child is in need of speech-language therapy or occupational therapy, please give us a call. Information to have on hand:

After our initial intake over the phone, you will need to fill out our intake forms. Please fill out the forms as completely as you can and email them to us. Once we receive the paperwork, we will call to schedule an evaluation with the therapist(s).
On the day of your child’s evaluation please check in with our clinic manager who will collect any paperwork you have brought (IEP, recent testing or school reports) and notify the evaluator of your arrival. The therapist will greet you in the lobby and bring your child back to one of our kid-friendly treatment rooms and/or gym for testing. You are welcome to use our lobby to complete standardized checklists or any additional paperwork needed. Evaluations consist of parent interview, standardized testing and clinical observations, and typically take around 1 hour. Please keep in mind that if your child requires both an occupational therapy and a speech evaluation, they will be scheduled on separate days.
After the evaluation is complete, you will receive a copy of the report describing the findings and recommendations in the mail. If your child is recommended for services, we will contact you to schedule therapy at a time convenient for your family. Once set, your appointment time will remain consistent week to week.

Appointments
At Metro Therapy Special Children’s Clinic we care about your child’s speech-language and occupational therapy progress. We will help you achieve your goals for your child. We work to schedule therapy appointments at times that are most convenient for you. However, we are an individual private practice with a limited number of appointment sessions each week. We strive to schedule appointments so that patient goals can be achieved in a timely manner, and to offer our care to as many patients as possible.
Because of this, Metro Therapy Special Children’s Clinic has implemented the following appointment policy. Our policy is necessary to maintain the high professional standards we practice. Missed or cancelled appointments waste timeslots that could be used for treatment and make the economics of our office difficult.
Our missed appointment and appointment cancellation fee policy:
An appointment cancelled for illness or situation beyond patient’s control - No charge
A missed appointment with no prior communication (“no show/no call”) - $35
An appointment cancelled less than 24 hours in advance - $35
An appointment rescheduled at a different time on the same day, schedule permitting - No charge
An appointment rescheduled or cancelled more than 24 hours in advance - No charge
Missed appointment and late cancellation fees will be billed directly to you and will be your responsibility to pay. We will not bill these fees to your insurance.
Patients who miss two appointments without communication will have remaining appointments cancelled and will be on hold from scheduling new appointments until missed appointment fees and the balance on their account is paid in full. Formerly scheduled appointment times cannot be honored in scheduling new appointments.
Billing and Insurance
When you made your appointment, we asked about your health insurance. We strongly urge that you review the speech-language therapy and occupational therapy benefits of your plan by contacting your insurance company. In addition, it is your responsibility to notify Metro Therapy when your out-of-pocket maximum has been met.
WE DO NOT GUARANTEE THAT YOUR SERVICES WILL BE COVERED OR PAID BY YOUR INSURER
We are a contracted provider for Aetna, Blue Cross Blue Shield, Cigna, Health Partners, Preferred One, Ucare, United Healthcare and Minnesota Health Care Plan (Medicaid). We will submit your insurance claims on your behalf with these companies.
While we are contracted with the above companies, our clinic might not be available in a specific care network. Please verify that your insurance plan allows you to see our therapists.
We are not a Medicare provider and we cannot accept Medicare for your treatment.
If your insurance coverage requires a referral for speech therapy or occupational therapy, please request that from your primary care clinic before your evaluation appointment here. Please bring a copy with you to your evaluation or have it sent directly from your doctor’s office.
After your insurance claim is processed, we will bill you for the amount that is your responsibility. You will receive a monthly statement in the mail from Great Lakes Medical Billing.
If your therapy is not covered by your health insurance, you will be responsible to pay for the services you receive.
We accept payment by cash, check, Health Savings Accounts, or credit card (AMEX, Discover, MasterCard, VISA).
Accounts
Speech-language therapy and occupational therapy coverage under health insurance varies. It is the patient’s responsibility to check with their insurance company about exclusions, deductibles, care network and referral requirements
Claims processing time for individual insurance companies can vary. Questions on the status of a claim should be addressed with Great Lakes Medical Billing.
Invoices are sent monthly when there is a balance on a patient account. The “statement amount” listed at the top of your invoice is the amount owed. If we have filed insurance claims on your behalf, this is the amount your insurance payer has assigned as your responsibility to pay.
